Challenges
One of the key challenges faced by the Florida Department of Management Services (DMS) was managing access to fleet management platforms. As Cherie Williams explains, “A lot of the issues we were having with other platforms is we were having to pay per user, instead of per vehicle, and that caused a lot of issues because of the way we’re set up.”
With DMS supporting 31 state agencies and overseeing 25,000 assets, the need for multiple users to access the system was essential. The per-user pricing model proved inefficient, creating complications in managing the large number of users required across various state agencies.

As Cherie Williams explains, “Right now we’re using it just strictly to put our vehicles in, track their mileage, their fuel cost, and the condition, and then get all their maintenance records in to see how much money we’re spending on these, that’s the primary benefit.” This system provides valuable insights into vehicle costs and maintenance, enabling more efficient decision-making.
The implementation covers the entire state fleet, from acquisition to disposal, as Cherie notes: “We take care of the entire state of Florida’s fleet, from acquisition to managing in FleetWave to disposals.” This includes a wide variety of assets, from sedans and light trucks to heavy equipment such as bobcats and asphalt layers, ensuring that all vehicles and equipment are accounted for and properly managed.
Impact
The introduction of FleetWave has significantly improved the user experience for Florida DMS and its customers. As Cherie Williams highlights, “I would have to say the biggest impact is probably the ease of use. The previous platform we were on was very difficult to navigate. You had to click on many different tabs to get to where you needed to go. And this one has been very easy to get to and to navigate around, and they’ve really appreciated that.” This streamlined interface has made it easier for multiple state agencies to access critical fleet data efficiently, leading to increased user satisfaction and smoother operations across the board.
