Background

Beacon Mobility is a network of 27 independent transportation companies across the United States, operating in 25 states. The group delivers a wide range of mobility services, including school bus transport, special‑education transport, paratransit, non‑emergency medical transport (NEMT), charter services and community shuttles.

Supporting these services is a large, well‑maintained fleet of more than 15,000 vehicles that operate under the Beacon Mobility umbrella, facilitating the safe and timely transport of passengers for school districts, transit authorities, medical appointments and community needs.

This extensive fleet enables Beacon Mobility to meet diverse and time‑sensitive mobility demands, ensuring students, people with special needs, patients requiring non‑emergency transport, and public passengers receive reliable, scheduled transportation across urban and rural areas alike.

Beacon Mobility has been using FleetWave since 2022. We interviewed Francisco Urena, New York Regional Trainer for Beacon Mobility about how the platform has transformed their fleet operations.

 

Challenges

Before implementing FleetWave, Beacon Mobility’s New York operations relied heavily on paper-based processes. Francisco described it as “being in the Stone Ages… just using documents, papers, pen and pads.”

Beacon Mobility’s New York operations faced significant inefficiencies prior to adopting FleetWave, particularly around compliance and inspections. Francisco states: “Prior to FleetWave, in the New York region, we used to do these VAT inspections. We would have a state official; they would come to visit our shops, and they would thoroughly inspect our vehicles. But prior to an inspection, our technicians will have to fill out a form about four pages long, which is very tedious for the technicians, and time consuming. The inspections routinely took around 2.5 hours per vehicle.”

These manual, paper-based processes placed a heavy administrative burden on technicians and disrupted daily workflows. Completing long inspection forms took considerable time away from vehicle maintenance, leaving little room for operational flexibility. The reliance on paper records also made it harder to track defects, manage compliance efficiently, and maintain oversight across multiple shops.

These challenges highlighted the need for a more streamlined, digital solution that could reduce paperwork, save time, and provide better visibility for both technicians and management. FleetWave’s introduction would soon address these inefficiencies and modernise Beacon Mobility’s inspection and maintenance processes.

 

Solution

Since deploying FleetWave about three years ago, Beacon Mobility has transformed its processes to become far more efficient, and data‑driven. As Francisco explains: “The feature that I use the most is parts. I’m constantly checking and pulling out reports on what parts we buy from each vendor to compare them from one to another. I also pull out live reports on stock. So, I’m always checking to see what stock is dead weight on the shelves. If I spot that we’re losing money on that, then I can contact the shop managers.”

This shift is underpinned by FleetWave’s core capabilities. The platform consolidates fleet data in one central place, from maintenance and repair history to fuel and cost analytics, providing complete visibility over assets, costs and performance.

The FleetWave Technician app adds a powerful auto shop‑facing layer: technicians can create and view job cards, request parts, manage stock, log repairs and complete inspections directly from tablets or smartphones, whether in the auto shop or out in the field.

 

Impact

Since implementing FleetWave, Beacon Mobility has seen a significant boost in productivity and workforce efficiency. As Francisco explains, “FleetWave has improved our productivity and workforce flow drastically.” Technicians now have direct access to DOT inspections and work orders through the FleetWave Technician app, right from their tablets, allowing them to continue their workflow without interruption: “They don’t have to stop, they don’t have to go to their boxes. As they’re working on the vehicles, the tablet is right there in hand, and they have direct access to FleetWave.”

The impact on inspections has been substantial. Previously, a single inspection would take around 2.5 hours. Francisco shares: Since implementing FleetWave we’ve reduced our vehicle inspection times by 50%.”

Beyond time savings, FleetWave has helped the team uncover defects they hadn’t previously tracked, improved stock inventory management, and optimized technician time management: “FleetWave helped us do much more than simply digitise our processes. By improving technician time management, streamlining workflows, and providing better visibility into inventory, we’ve been able to operate more efficiently across the board. Those improvements contributed to reducing our CPM (Cost per mile) from $0.38 to $0.36, helping us lower operating costs while improving productivity.”

With an industry-average CPM typically ranging from $0.32 to $0.55, this places Beacon Mobility towards the more cost-efficient end of the market, with the reduction representing an approximate 5.3% improvement in cost per mile.

Maintenance processes have also become more reliable. “Using the Technician app, mechanics would write down their parts, and you would constantly see mismanaging of parts inventory… after FleetWave, technicians have direct access to their work order, and managers have live views on their dashboards.

Francisco adds: “Before FleetWave, parts usage was tracked manually, which often led to inventory discrepancies and inefficiencies. With the Technician app, mechanics have direct access to work orders, and managers can monitor inventory through real-time dashboards. This significantly improved inventory control and accountability, further contributing to our reduction in our CPM.”

Overall, FleetWave has delivered measurable operational efficiencies, reduced manual tasks, and strengthened visibility across Beacon Mobility’s fleet operations.

 

Conclusion

You’ll be surprised how much you can improve just by digitalising. And seeing the reports daily, it surprises you how much you were missing out on before.”
