Background

Nashville Electric Service (NES) has been a FleetWave customer since 2019, progressively expanding its use of the platform to centralize fleet information, support maintenance operations and improve visibility across its workshops.

We interviewed Meaghan Morgan, Business Analyst at Nashville Electric Service about how FleetWave has helped centralize fleet information, improve technician flexibility across workshops, strengthen maintenance compliance, and reduce incomplete scheduled maintenance jobs by 43%.

Challenges

Before FleetWave, managing the fleet involved a significant amount of manual documentation and processes. As Meaghan explains, “I’d say pre FleetWave, the hardest part about managing our fleet was the sheer volume of manual documentation and processes.”

For NES, the challenge was not simply managing information, but making sure that information was accessible to the right people when they needed it. With technicians working across multiple workshops, a lack of centralized information could make it difficult for someone covering another location to understand what was scheduled, what needed to be completed and how work was carried out.

Today, FleetWave acts as a central repository for that information, helping NES create a more flexible and connected fleet operation while providing greater visibility into maintenance performance.

The scale and variety of fleet management tasks made it difficult for NES to rely on individual processes and sources of information. As Meaghan puts it, “I think everybody really struggles with finding one system that can really encompass all of the various tasks that we need to complete.”

This was particularly apparent when technicians needed to work outside their usual workshop. “It made it really difficult for technicians to fill in at another shop where they might not know what was still on the calendar, what needed to be done, or how things were done at a certain shop.”

The issue also extended to covering staff absences. If a technician went on vacation or was out sick, NES needed to be able to move another technician into the role without losing valuable time or allowing maintenance work to fall behind.

The organization therefore needed a way to bring its fleet information and processes together, while making that information accessible enough to support technicians wherever they were working.

Our Impact

FleetWave gave NES a central system for bringing its fleet information and processes together. As Meaghan explains, “It’s nice to have one system that we can start incorporating all of that into.”

This has made it easier for technicians to work across different workshops, with the information they need readily available in one place. She adds: “The great thing about having FleetWave as a central repository for all of that information is that any information that is needed about an asset, about its maintenance schedule, anything the technician could need, makes it easier to plug and play if we have a need for them in a different one of our shops.”

This flexibility means NES is not restricted to having technicians based at a particular location: “So we’re not limited to only having people stationed in one particular place.” It also makes it easier to maintain continuity when someone is unavailable. “And it’s also easy when somebody, say, goes on vacation or is out sick, it’s easy to have another technician cover that shift and no work is going to get done. They’re not going to fall behind.”

FleetWave has also helped NES strengthen compliance and maintenance completion by making outstanding work more visible and actionable. As Meaghan explains, “FleetWave has helped us stay compliant.” To support this, the NES team developed a query to track incomplete jobs at the end of each month, giving supervisors, fleet technicians and working foremen a clear view of scheduled work that had not been completed. As Meaghan puts it, “When it was easier to visualize, when that report was going out to the supervisors, the fleet tech working foreman, it made it easier for everyone to see and kind of hold each other accountable.”

That visibility translated into a significant improvement in completion rates. “We were able to drop the yearly average of jobs that went incomplete from about 23% in 2023 down to 13% for calendar year 2025.” This represents a 43% reduction in incomplete scheduled jobs, demonstrating the impact of making outstanding work visible to those responsible for completing it. As Meaghan concludes, “So an enormous difference is made just by being visible.”

Benefits

NES has progressively expanded its use of FleetWave, moving from managing core fleet information to incorporating more of the functionality the organization needs. As Meaghan reflects, “We’ve been a customer of FleetWave’s now for about six years and gradually incorporating more and more of the products they offer.”

That evolution began with the fundamentals: “We really focused the first few years on managing the information that we were bringing into it and kind of taking care of basic functions with it.” Since then, NES has continued to build on that foundation, with FleetWave supporting a broader range of fleet management needs.

The result is a more flexible and connected operation. Centralized asset and maintenance information enables technicians to work across workshops, while greater visibility of outstanding work has helped NES strengthen accountability and maintenance completion.

Conclusion

For NES, the value of FleetWave lies not only in what the platform delivers today, but in its ability to develop alongside the organization’s changing requirements. As Meaghan states: “The longer the relationship goes, the more we’re able to incorporate all these other things that we really need, and that FleetWave is able to provide for us.”

The next step is predictive maintenance. NES is currently rolling out Geotab across its vehicles, and the integrations being developed through the FleetWave Store will help bring that vehicle data into FleetWave.

The long-term relationship with Chevin is also an important part of the value NES places on FleetWave. Meaghan highlights “the commitment to the customer that absolutely everyone I’ve come across at the company provides,” with support ranging from Ask the Expert sessions and the annual conferences to more immediate help when the team encounters a challenge.

With FleetWave helping NES centralize information, move technicians more easily between workshops and reduce incomplete scheduled maintenance jobs by 43%, the organization has established a stronger foundation for its fleet operation.

As NES continues to expand its use of FleetWave and integrate Geotab data, that foundation will support its move toward a more proactive, predictive approach to fleet maintenance.

For Meaghan, that commitment to supporting customers is a key part of the FleetWave experience, with the Chevin team always willing to help find a solution. As she puts it, “Chevin has always been a very customer-focused company, and everyone embodies that, and I’ve always really appreciated that.”
