Background

The City of Ocala, located in central Florida, is a government organization that oversees the administration of the city’s services and infrastructure. With a population of over 60,000, Ocala serves as the county seat of Marion County and plays a key role in regional governance. The city government manages essential services such as public safety, utilities, parks and recreation, and economic development to improve residents’ quality of life and support the growing local economy.

We interviewed Suzanne Kendall, Senior System Analyst, about the impact the FleetWave has had on their fleet efficiency.

Our Solution

In 2016, the City of Ocala implemented our FleetWave system to enhance the management of their fleet. FleetWave now supports over 2,200 vehicles and small equipment, ranging from large service vehicles to lawn mowers and weed whackers. Suzanne highlights the significance of the system, stating: “We maintain everything within the city, and it’s a government agency, so we are very transparent on what we do within the city.”

This highlights how FleetWave plays a crucial role in keeping the City of Ocala’s essential services running smoothly, ensuring that their fleet remains dependable as they carry out critical city functions.

Impact

The introduction of FleetWave has brought about significant improvements in efficiency for both technicians and fleet administration at the City of Ocala. According to Suzanne Kendall, “FleetWave has been very efficient for the technicians and for the fleet administration for the City of Ocala, to streamline the processes and the billing of all the departments on a monthly basis.” This streamlining has made day-to-day operations more manageable, allowing the fleet team to focus on essential tasks without getting bogged down by manual processes.

Technicians have particularly appreciated how the FleetWave Technician App has simplified their workflow. Suzanne adds, “Technicians like the fact that they can order the parts, send it off to the department and then just walk over and go, hey, give it to me.” This seamless integration between different parts of the operation has led to quicker turnaround times and better communication between teams.

Furthermore, the billing processes within the fleet department have also improved. Suzanne emphasizes the benefits for internal financial operations. When asked about the primary benefit of FleetWave, Suzanne noted, “Better billing processes for the fleet department to bill work and fuel back to the departments within the city.” This has ensured accurate and timely billing, contributing to the overall efficiency and transparency that the City of Ocala values.

Conclusion

Suzanne Kendall wraps up her experience with high praise for Chevin, highlighting FleetWave’s adaptability: “I would definitely recommend Chevin. It’s configurable, and you don’t have to wait for the vendor to make changes to the system. You can have a trained administrator do screen changes and manipulate the view of every screen within the application, and you can add user-defined fields, which is really nice.”

This flexibility allows the City of Ocala to tailor FleetWave to their evolving needs, ensuring it continues to be an efficient and valuable tool for their fleet management operations.
